Teach Your Children the Art of Letter Writing

With the ease of Internet communications, letter writing has become almost a lost art. But there are times when a handwritten note or letter is more appropriate, and much more appreciated, than an email.

Teaching children how to write a short letter or thank-you note to doting relatives will give them a valuable skill they can use throughout their lives. You can start before they even learn to read and write, by having them dictate a thank-you note for a birthday, Christmas, or Hanukkah gift. Let them choose a picture of themselves to include in the letter, and then have them seal the envelope and apply the stamp and a return address sticker. And don’t forget to model letter writing by using written correspondence yourself to communicate with loved ones. If you’re writing to someone your children know, ask them if they want to send a message to the recipient.

Once your children begin to read and write, make sure they have available a collection of colorful stationery, including preprinted thank-you notes, holiday cards, and writing paper with matching envelopes; also get them an address book – a big one with plenty of room to write is good for small hands. Help them make a birthday and holiday card list of their friends and relatives, and then keep track of special days to make sure they send cards and letters in time.

Letter-writing etiquette has relaxed over the years, but some practices still apply, and for good reason. Teach children to get into the habit of using return addresses and dates at the top of their letters (“So your grandma can write you back” and “So your aunt will know when you wrote the letter”). You may also want to have them make a copy of their note or letter before they send it; it’s easy enough if you have a combination printer/scanner/photocopier for your computer.

Hopefully your children’s relatives will write back when they receive a note or letter; if not, you might want to nudge them. (A gift of stationery and postage stamps might help in that regard.)

Developing family histories through correspondence

As your children move through various stages of their lives, they might find it interesting to discover what their grandparents and other adults in their lives experienced at the same age. If you encourage them to ask questions of family members in their letters, they will probably receive a wealth of information in return. You may want to supply each of your children with a special folder to keep correspondence they receive, and take the responsibility yourself to keep the folders in a special place. Your children may not fully appreciate the family histories they compile now, but in twenty years, these letters and the information they contain may end up meaning a lot to them.

Helping your children develop the habit of writing letters and thank-you notes will have positive benefits in the future. Writing a thank-you to a classmate for a birthday party invitation can translate into a thank-you to a prospective employer for a job interview a dozen years from now. Letter-writing etiquette essentially means good manners and consideration of other people, and those character traits can only benefit your children as they become responsible, caring adults.

How to Write a Well-Structured Technical Report

Writing is one of the highest forms of the human endeavour. Unless you can communicate to others the information, knowledge, and results you have gathered through experimenting, much of the value of your work will be lost. Technical report writing is one of the best vehicles through which you can share the results of your research with others. In such case, writing is an invaluable assistance in the organization of your thoughts.

Writing technical reports require your ability to arrange your thoughts clearly, concisely, and logically. After all, a technical report is a formal report designed to convey technical information in a clear and easily accessible format. It should be written in correct, non-colloquial language with due attention to style, clarity, conciseness, grammar, punctuation, and spelling.

Business and industry, as well as universities, often demand writing technical reports. Engineers, scientists, and managers usually write research reports to communicate the results of their research work, field work, or experiments. Technical reports are diverse in their aim and focus, and differ greatly in their structure; they are proposals, progress reports, trip reports, completion reports, investigation reports, feasibility studies, or evaluation reports. No matter how diverse are technical reports in their forms and objectives, they share one feature in common: they communicate to the audience.

All technical reports usually have a defined final organization and divided up into sections. Each section has a specific purpose, and there are peculiar guidelines for formatting each section. Though, there is a standard model of structure, style, and sections’ arrangement, which we will refer to.

The major sections of the technical report are: title page, abstract, table of contents, introduction, results, conclusion, recommendations, references, and appendices.

Title page

The title page of the report usually contains four main parts of the information: the report title; the name of the person, organization, or company for whom this report has been prepared; the name of the author or the institution, which originated the report. This is the essential information that should be included to the title page of your report.

One of the most perplexing issues at this stage of technical report writing is composing the title of the report itself. Bear in mind that the effective title should be informative, but reasonably short. Indeed, there are four basic approaches that writers use in writing the title of their technical reports. You can…

1) Make the title the restatement of the investigated subject.
 2) Incorporate one of the major research methods into the title of the report.
 3) Include the name of the hypothesis, theory, or problem that was researched in the title of your research report.
 4) Provide a concise description of the obtained results in your report title.

Abstract

“An abstract is an accurate representation of the contents of a document in an abbreviated form.” The abstract states the report in miniature. In fact, it summarizes the whole report in one, and has a form of the concise paragraph that incorporates 100-200 words. As soon as it condenses and summarizes the whole report, it should be written after the report has been completed. You should include the objective, research methods used in the investigation, results of your research and recommendations that you give to the readers. Pay special attention to describing the objective of your report that states the problem, and the analysis of the results that incorporates your recommendations.

Table of Contents

Most reports contain the table of contents section, where you list the contents of your report and show how the report is organized. You can label each section with descriptive headings and subheadings to explain the readers what each section is all about. A good table of contents makes it easy for the readers to locate each section of your report.

Introduction

The introduction of a technical report represents the subject, the purpose, and the plan of the development of your report. Writing the introduction, you should keep in mind that your main aim is to introduce your readers to the problem that you are setting out to solve in the course of your technical report. You can also include some background information into the introduction to get your readers acquainted with the history and background of the subject that you have chosen and thoroughly researched. Remember that stating the objectives and the problem of the carried research are the main functions of this section.

Results

“All the preceding sections of the report lead in to the results section and all the subsequent sections will consider what the results section means.”

Results is usually the longest and most important part of your report, where you have to report the results of the carried research. Literally you have to discuss here what you have invented, discovered, confirmed through your research, and to present this information in the form of calculated values, visual observations, plots, illustrations, graphs, or tables.

You should focus on facts of your research in the results section. As stated above, you’ll extensively use tables and figures in this section. They are the indispensable part of presenting the results of your research work, because they help you to convey the data to the readers more efficiently, in addition, to simplify and to visualize presented information. With the help of figures and tables you will convey numerical data and measurements taken during your experiment in your report. Remember that the results of your research should be presented as plainly as possible.

Conclusion

It is a very short section, where you summarize your findings and generalize their importance. As you draw conclusions, you should explain them in terms of the preceding results section, and give your opinions based on the evidence and data presented in the results section. You don’t have to introduce any new ideas in this section; though, you can raise unanswered and ambiguous questions in the conclusions.

Recommendations

In this section you have to provide suggestions based on the results and conclusions of your work. Recommendations section indicates that you are completely versed in the importance and implication of your research, as you give some piece of advice to your readers.

References

The main objective of citing references is to give the readers an opportunity to follow up your work. References show the readers that the materials and data you have used in your research are credible. Don’t forget to include references that you directly cited in the text.

Be sure to include enough references, because the reader may want to follow up your references for further research on the topic, or simply to get to know more on the topic. You have to incorporate the authors, year, edition, publisher’s name and publisher’s location for books that you have used in your research; for articles in journals give the authors, year, and name of the publication, volume and page numbers. Don’t include secondary sources that are slightly related to your research, just to make a list of references longer.

Structure your technical report logically, and to make it precise, specific and detailed.

How to Write Your Own Content

If you have a small budget or you are very interested in creating your own content you should make yourself familiar with the necessary steps required when writing content for business use.

Create a Draft

When you start writing you should begin with a draft of your information. Regardless of whether you are writing a paragraph or a book you should write down the basic thought or information that you are trying to put across to your audience.

Many times a writer will go back to the draft for reference or as a starting point if the first efforts are not satisfactory. By preparing a draft you will not need to worry about whether you remembered the points that needed to be covered or what the purpose of the writing was.

You may only need a few words or brief sentences for your draft. Writing your thoughts as well as your references or quotes down ahead of time will free your mind to create compelling content without trying to hold all the important details in your head as you work.

If you are writing an article or report you should just write the thoughts down as they come to you for your first draft. You can go back and edit it when you’ve put everything on paper. If you’re writing longer content, such as a book, you need to create a table of contents along with a brief summary of each chapter as a basis for getting started.

Do not be concerned with proofreading or accuracy on your first draft. If you need to do more research or check a fact you can go back and do it later. Getting started can be the hardest part for most writers. Avoid getting caught up in making it perfect the first time and you will find it much easier to progress from beginning to end without too much stress.

Make it Clear

When you’ve finished your first draft you will need to read it over from start to finish and make notations of areas that need clarification or rewording.

Sometimes the information you write down makes sense to you but is not clear to others. This can easily happen when your writing is based on information you already know but are taking for granted that your audience is also aware of. Even if your readers SHOULD have some knowledge of your topic, if you don’t clarify the basis for your comments they may find the information confusing or misleading.

Carefully read over your information or ask for an objective opinion. If you must do the final check for yourself it is easier to catch mistakes if you leave the information for a while and go back to it later for a fresh look. Try to look at it from the perspective of your reader and determine if they would understand the language or explanations easily.

Accuracy and Proofreading

When your writing is finished it is important to check it for accuracy. Are dates, statistics or facts accurate? Are you using proper spelling, especially for names and places?

It is very easy for readers to double check your information when they are browsing the internet. If something strikes them as being ‘off’ they may actually go see if what you state is referenced somewhere else on the internet.

Proofreading should always be done before publishing your content. Using a spell checking program on your computer will catch most spelling errors but you should try to have a second party review the final copy to catch mistakes that you may have overlooked.

Writing your own content can give you a great sense of accomplishment and ownership. While trying to maintain a professional writing style can be very important, it is also effective to allow your own personality and style to shine through and permits your audience to connect with you.

Casting a Writer’s Spell

It amazes me how many publications I read where there are glaring spelling mistakes. Some people rely on their computer’s spell check, but that may be lulling us into lassitude about good common sense spelling. Every writer should have at least one dictionary, though several would be even better. Learn that the dictionary is your pal, with a flick of a few pages you can spell something the right way instead of the wrong way.

Even the most educated person can put out writing that contains obvious spelling errors. I don’t want to send an editor a manuscript with glaring mistakes that make me look unprofessional. There is never a right time to relax over spelling. Now if it seems I am obsessed with the subject, I am. Since the advent of computers and spelling aids I find a real carelessness in printed material.

When young people ask me what I feel is important for a good writer to master, I tell them editing and careful attention to the words you are using. Manuscripts come to me with the most outrageous errors. These should have been caught before ever submitting the write to a publisher, or someone you wish to have look over your work. If in doubt, look it up. There are many good dictionary programs on the computer where you just enter the word you want, or as close to it as possible, and the program will help you with your definition.

Some of the most common mistakes are different spellings for words that sound the same. For instance, who’s and whose. Just remember that the first spelling is a contraction of who is, as in who’s coming to the party. You can figure out many words with a little thought and logic. In grade school our Principal came into the classroom and said principal, with that spelling was easy if you remembered that the principal is your “pal”. That stuck with me.

I use other memory tricks with words. Take dessert and desert. How to remember those? I think of a desert being a barren place, so has only one ’s’. It doesn’t matter what triggers you use, mnemonics can be a great tool. Another puzzler is with your and you’re. Again we look to the you’re to know it is a contraction, while your is a possessive.

Spell check is a great help, but it can add to spelling errors. If the word you use is in the dictionary, it may not show it as an error, even though it is. This is when you use editing and proof-reading to catch such flaws. If an editor sees your submission is proofed and neatly put together, as well as having no spelling errors, your submission will have a much better chance than one with errors.

If you want to be a productive writer, attention to detail is a must. There are thousands of writers out there and your work must have that extra edge to be accepted. Writing is hard work and you must decide how much effort you are willing to expend to assure it is your best work.

To avoid such mistake, you must first search for the related topic articles and take them as your references. Study those articles and do a further search to find what other area they miss in the topic you’re looking for. Use websites like faq.com and answers.google.com to find answers to your questions.

Never forget to do a keyword research too. Search in overture and get a list of highest ranked related keyword, then choose a few of the top 5 keywords for your later use in writing article.

2. Make your article title eye catchy to your readers.

I highly recommend implementing copywriting methods in to creating an article title that sells. A title that catches your readers’ attention for that second, you are already making sure 90% of your readers will read the opening of your article.

You can use words to create your own selling title such as:
– Introducing: The Most Powerful…
– Who else wants to…
– 10 ways to increase your …

If you ever got celebrity endorsing the topic you’re writing in, you could start the title as:
– Joe Vitale confirmed the benefits of…
– Even Dan Kennedy says…

3. Tell interesting stories and be personal in your writing.

If you are writing a review of a product, a service or an event, having a real proven testimonial in story form either from you or from your customers is always a killer to keep your readers to be interested in your content. Nevertheless this is the most powerful method to sell any products through sales letter. Why not use it and spice up your article? When you’re telling your stories, make sure you’re talking to only one person. This is to make your readers feels more personalized in your article. Use the word ‘you’ and ‘I’ instead of ‘them’ and ‘we’.

4. Be specific

Remember to tell your stories in specific. Readers just hate it when the story is stuck hanging and left them in confusion later.

If you’re telling a story about a person, describe the person’s appearance and the person’s personality, such as ‘he looks outrageously handsome wearing that expensive black sunshade’, or ‘She dance beautifully in front of her envy audience’. If you’re talking about a product, describe its benefits specifically how it is a good product for your prospects. Make them being able to visualize images in their head with your words.

5. Please, be honest with your stories

If you lie, your readers will know. Even though they don’t, they will catch you one day, and for sure you will get backfire for lying to them. So be honest on your facts! Deliver your readers with true stories and they will put their trust in you forever. For some reason, even though if it’s true, you might want to avoid telling stories that sounds illogically existed or anything that sounds too good to be true.

6. Stick to the point and your niche targeted keyword

Whenever you’re writing your article, stick to the point you’re trying to deliver. Here’s where the keyword words you got from your research from the start kicks in. Use your targeted keywords and mentioned them as many time as possible for keyword density in your content. You may not know this, search engine would list you high and it helps to get your content indexed quickly.

7. Do not hard sell

Nobody likes super hard sell salesmen who break in your door just to show you their products and force you to buy them. So please remember, don’t use words that sounds too harsh and unacceptable to your readers. If you still not sure if your article content uncomfortable hard selling words, ask several of your friends and have them read over your article. This will sure brings you a lot of feedbacks which you will later make the correction to its perfection.

8. Finally, over-deliver whatever you are offering

Everyone loves to be surprised with gifts unintentionally, including your readers. Spend extra time to find information and over deliver your readers to what they have already respected to you.
